CLUB RULES AND CONSTITUTION

1-Title

The name of the club shall be Truro Running Club.

2 – Object

The object of the club shall be the promotion of amateur athletics.

3 – Membership

(a) The club shall consist of amateurs according to the British Athletic Federation’s definition of an amateur.

(b) Application for membership must be made in writing to the club secretary and approved by a majority of the management committee.

(c) Each member shall pay a subscription decided at the Annual General Meeting.

(d) Subscriptions must be paid for the current year before the member can compete for the club.

(e) To resign, a member must inform the club secretary in writing.

(f) Any member guilty of misconduct ( i.e. behaviour contrary to the constitution ) may be cautioned once or expelled from the club by a majority decision of the management committee. Any person expelled will have the right to appeal to the management committee meeting called at his/her request not later than two weeks from the date of expulsion.

(g) The committee shall have power to expel any member whose subscription is two months in arrears provided a fortnights’ notice in writing shall have been sent to such member by letter addressed to his/her last known address and informing him/her of the Committee’s proposed action.

(h) The name and address of any person so expelled shall be sent to the Honorary Secretary of the Area Association who shall enter the name in a book (to be called “The Suspension Book’ ) kept for that purpose. The suspended person may not compete under British Athletic Federation Rules until the liability has been discharged.

4 – Management

(a) The management committee shall consist of Chairman Secretary, Treasurer ( plus other elected officers ) and three other members who will be elected at the Annual General Meeting.

(b) A President may also be chosen at the A.G.M.

(c) The management committee shall meet at least six times a year.

(d) A quorum for the management committee shall be a minimum of four officers /members attending.

(e) All decisions will be by a majority vote, the Chairman having a casting vote in the event of a tie.

(f) The management committee has the power to co-opt extra members up to a limit of three, to create trustees and to form a sub-committee as and when considered necessary.

(g) An auditor who must not be a committee member must be elected at the A.G.M.

5. Annual General Meeting

(a) The A.G.M. will be held during June each year and the following business

undertaken:

(i) Annual reports will be read and discussed.

(ii) The audited accounts will be presented.

(iii)The officers will be elected.

(iv) Any other matter specified on the agenda.

(b) Motions to be put to the A.G.M. must be submitted in writing to the Club Secretary at least two weeks before the meeting.

(c) The club rules / constitution may be changed only by a two thirds majority decision (also see rule 7 below).

(d) All other decisions will be by a majority vote, the Chairman having a casting vote in the event of a tie.

(e) One quarter of all paid up members will constitute a quorum.

(f) Only members of sixteen years and over will be eligible to vote.

6 – Club Colours

(a) The colours of the club shall be a Royal vest with an Amber band.

(b) Club colours must be worn by all competitors representing the club at every competitive meeting / race.

7 – Amendments to Rules & Constitution

(a) The management committee by a two thirds majority at a quorum meeting may propose amendment to the Rules & Constitution. The changes may be made only at the A.G.M. or at an extra-ordinary general meeting called for that purpose. Four week’s notice must be given for any such E.G M, the necessary quorum being one half of all paid up voting members. If the motion is passed at the A.G.M. or E.G.M. by a two thirds majority the amendment to the Rules & Constitution will be immediately adopted.

(b) Alternatively, ten ordinary paid up voting members may petition the club secretary in writing to call an E.G.M. whereupon the conditions in rule 7 (a) above will apply re: calling such meeting and voting at it.

8 – Dissolution

(a) The management committee by a two thirds majority at a quorum meeting may decide to dissolve the club. They must then call an E.G.M. giving four week’s notice to all club members. If the motion is passed by a two thirds majority the club is then dissolved.

(b) Alternatively, ten ordinary paid up voting members may petition the secretary in writing to call an E.G.M. whereupon the conditions in rule 8 (a) above will apply re calling such meeting and voting at it.

(c) Upon dissolution any funds remaining after meeting all debts will be donated to County A.A.A. to be used in the furtherance of amateur athletics in the county.
